Cancellation and Refund Policy
VHCA-VCAL Cancellation and Refund Policy for In-Person Events:
Cancellations received by September 4, 2026 will receive a full refund. No refunds or credits will be granted if cancellation is received after the published deadline. Substitutions are always welcome. All cancellations involving a credit card transaction will be charged a 10% administrative fee. No shows or cancellations made after the event will not receive a refund and/or will be expected to pay any outstanding invoice. VHCA-VCAL’s receipt of your registration is your commitment to pay the invoice in full.
Survey Related Cancellation
If a facility is having a survey, the administrator and DON of the facility are able to cancel their registration without a penalty. Facilities must provide this information in writing to doran.hutchinson@vhca.org.
Early Bird Savings
Early Bird Pricing | Must be paid by July 1, 2026
- Member: $775 (increases to $850 after July 1)
- Prospective Member: $1,550 (increases to $1,700 after July 1)
Special Notices
- Final registration approval is determined by VHCA-VCAL staff.
- Representatives of companies that have not purchased a Trade Show booth will not be allowed to show products, discuss services, or otherwise solicit business in the trade show area; that right is reserved exclusively for representatives of those companies that have purchased booths.
