Urgent: Update Your DMAS MMIS to MES Provider Portal Access by March 7

Effective April 4, 2022, DMAS is transitioning the current Medicaid Management Information System (MMIS) to a more robust Medicaid Enterprise System (MES). Please make note of the March 7, 2022 deadline to update your access to the provider portal to ensure you do not experience negative business impacts.

All providers should act now to identify the current individual designated as the Primary Account Holder  in your facilities or business offices and to also identify all assigned delegated users who may be billing, EDI, and administrative staff. It is critical to transition those accounts to MES with up-to-date information.

If proper action is not performed on-line by March 7, then the process becomes more burdensome requiring a form to be submitted, which introduces more time and human intervention to complete the process.

DMAS has posted training resources on the MES portal webpage. The MES Provider Portal Pre-Launch FAQ website is being used to post frequently asked questions and answers and provider messages during and beyond the transition. Bookmark these links to stay up-to-date on the most current information.

DMAS also provided VHCA-VCAL with a preview of an upcoming message, which will be sent to all providers and will also be posted to the MES website.

Help for Providers Who Missed Deadline and Those with Inactive Accounts

In December, the Virginia Medicaid agency asked all fee-for-service Medicaid providers to update contact information for their primary account holders with a valid email address and mobile phone number.

If you are a provider with an active primary account holder but you missed the deadline for making updates, you can use a self-service only process to make your updates. You must make these updates by March 7, 2022. Detailed instructions are available at the top right of the Virginia Medicaid Portal.

Providers who miss this second deadline for making updates must complete a registration form that will be available starting March 21, 2022, on the Provider Forms Search on the new provider portal on the MES website. We strongly encourage providers to take immediate action using this fast and easy process to avoid delays in your access to the new provider portal.

We have also identified a number of inactive primary account holders for the provider portal accounts. If you are a primary account holder with an inactive account, we are assigning your organization administrator as your new primary account holder. If you have more than one organization administrator, we are assigning the organization administrator who most recently accessed the Medicaid Management Information System (MMIS) as the new primary account holder.
