DSS Update on E-Preadmission Screening

The Virginia Department of Social Services (DSS) has provided an update on ePAS, the electronic claims processing system for completion of preadmission screening (PAS) documents to authorize Medicaid-funded long term care services and supports such as waiver services, Program of All Inclusive Care for the Elderly (PACE), or nursing facility placement. Though some assisted living facility (ALF) assessors for public pay (Auxiliary Grant) individuals had been entering the Uniform Assessment Instrument (UAI) into ePAS, recently the Department of Medicaid Assistance Services (DMAS) decided to limit ePAS access to PAS teams only.

Effective immediately all ALF assessors for public pay individuals will resume completing paper UAIs and associated documents (i.e., DMAS-96 and Eligibility Communication Document). ALF assessors will continue to submit the appropriate documents to ALF providers and local department eligibility workers.

The new guidance does not change any procedures regarding assessments of private pay individuals. Private pay assessments should continue pursuant to current protocols.
